How to Take Cake Orders Online in Kenya

Most guides on starting a cake business in Kenya cover the same ground: business registration, food handling permits, and how much capital you need for equipment. That is useful information, but it stops short of the part that decides whether customers can actually find and order your cakes once you are baking. This post covers that part.

Why cake orders need a different setup

Unlike a shop selling ready-made items, almost every cake order involves a conversation: flavor, size, design, and the date it is needed. This is why most home bakers in Kenya already take orders through WhatsApp rather than an automated checkout, and it is a reasonable way to sell. The problem is usually not the conversation itself, but what happens before it: customers scrolling through old photos on your status or Instagram feed trying to find examples of what you make, then messaging to ask questions your catalog could already answer.

A catalog does not replace the conversation, it starts it better

A shop link with your cakes organized by type, size, and starting price means a customer arrives at a WhatsApp conversation already knowing roughly what they want and what it costs, rather than starting from nothing. You still confirm the exact date, design details, and final price directly, the same way you do now. What changes is that customers spend less time asking questions your catalog already answers, and more time actually placing the order.

Photographing cakes well

Cakes photograph differently from most products because texture and detail work, icing, layers, decoration, matter more than a plain product shot would need to convey. Natural daylight rather than indoor bulb lighting tends to show true color better, and a slightly angled shot that shows both the top and side of a cake usually gives customers a clearer sense of size than a flat top-down photo.

Delivery and transport

Cakes are more fragile in transit than most products, which makes delivery worth planning deliberately rather than treating it as an afterthought. Whether you deliver yourself, arrange a courier familiar with handling cakes, or ask customers to collect in person, being upfront about which options you offer, and any distance limits, avoids a difficult conversation after a cake has already been baked for a specific date.

Setting it up

  • List your cakes by type and size. Photos of finished cakes, with a starting price for each size, give customers a starting point before they message you.
  • Turn on WhatsApp ordering. Customers browse your catalog, then message you to confirm the specifics, exactly as most bakers already work.
  • Have your payment number ready. A Till Number, PayBill, or Pochi la Biashara account customers pay directly once the order is confirmed.

Pricing and lead time

Two details are worth being explicit about in every listing: a starting price for each size, since custom design work usually costs more than a plain cake of the same size, and how much notice you need before a delivery or collection date. Demand for cakes tends to cluster around weekends, birthdays, and the holiday season, so being upfront about lead time during busy periods helps manage expectations before a customer commits to an order.

What it costs

A Starter plan, at KES 1,200 a year, covers up to 10 listings, enough to organize cakes by size and flavor without needing a large catalog. There is no extra charge for taking payments, since customers pay your own number directly, not FlexiDuka.
